Synergix’s TaskHub offers more than typical ERP functions

July 2008: Mini Environment Service (MES) started in 1976, focusing on environment cleaning, and actively participating in the government's Flood Alleviation projects.

As it diversified, it secured a number of construction contract works, supporting main contractors and developers. The company then moved into foreign worker recruitment, providing a one-stop service in the management of the workers, their accommodation, transport and food.

It also acquired a fleet of lorries for use in various projects as it diversified into transport and delivery services in the mid-1990s.

MES now has four dormitories built and managed by their own management subsidiary. The company houses and manages about 25,000 workers of different nationalities and industries.

Need for automated functions

Pretty soon, MES's business process requirements outgrew its current system in terms of capacity and speed. The company also needed more automated functions, which were not commonly found in a typical ERP standard package.

An AP Global Payment system was designed by Synergix Technologies to help to cut down data-entry effort down to one entity level. Transactions are automatically created by TaskHub in respective entities involved and users notified via e-mail to process their respective steps and duties. This ensure uniform data throughout entire group when performing the Global Search function.

Effective reporting

As MES has a group of companies, effective reporting was thus critical. In its requirements, MES was mainly looking at user-definable reports and to manipulate the reports without affecting the data source.

Synergix's TaskHub Business Analytic was what they need. User-definable dashboard can be created and reports can be exported via this tool into various formats including Microsoft Excel and PDF.

Security control of information access

Users with different access rights can access different entities' data. Controlling each user's access was thus critical not just in terms of company level but also department level.

With TaskHub SBU control function, information is segregated and viewed by users of different SBU without any crossover. This tightens information access without sacrificing any job function and convenience for users.

Eliminating manual tracking of contracts

MES has annual leasing contracts with its dormitory clients. However, all are being tracked manually now. With TaskHub Maintenance Contract Module, contracts with different billing frequencies can now be stored and monitored electronically.

Invoices can be automatically generated and traced to prevent over-billing or under-billing of contracts, taking into consideration of revenue accrual requirements.

MES chose TaskHub primarily, among other competitors including SAP and Microsoft because of Synergix's strong credential in Singapore as well as its team's ability to customise MES's automated requirements.

User Interface was considered user-friendly among all software products evaluated which gave MES a higher comfort level. Hands-on session was also provided which further add-ons to their confidence in TaskHub solutions.

More importantly, TaskHub is locally developed and has a proven track record. Looking ahead, TaskHub clear product road map also means to MES a possible choice of automating other parts of operation after the first round of financial automation.
